Ward stock — from nurse indent to pharmacy dispatch, fully tracked

Paper indent forms and phone calls between wards and pharmacy create stock gaps, unaccounted consumption, and cost allocation problems. HISx digitises ward indents, tracks transfers with batch-level detail, and reconciles ward consumption against patient billing.

The problem

What happens when ward stock runs outside the system

When ward stock is managed informally — nurses calling pharmacy, stock transferred on paper or verbal request — three problems accumulate invisibly.

No ward stock balance — pharmacy blind to what wards hold

Central pharmacy sends stock to wards but has no visibility of what's actually consumed vs what's still sitting in the ward. Wards accumulate surplus while the pharmacy over-orders for replenishment.

FEFO not enforced in ward satellite stock

Ward nurses dispense from the most accessible item in the ward trolley, not the earliest-expiry batch. Satellite stock has higher expiry rates than central pharmacy for exactly this reason.

Department cost allocation wrong — all consumption in pharmacy P&L

Without ward-level consumption tracking, all drug costs are booked against the central pharmacy cost centre. Department-wise drug expenditure for ICU, general ward, or OT is a guess rather than a measured number.

Separate stock ledgers

Every ward has its own live stock balance — visible to pharmacy at all times

HISx maintains independent stock ledgers for every hospital location. When stock moves from the central pharmacy to ICU via a transfer, both ledgers update instantly. Pharmacy managers see a consolidated view across all locations simultaneously.

  • Central pharmacy, each ward, OT, ICU, emergency, and general store — all as separate inventory locations
  • Every inter-location transfer tracked with dispatch confirmation and batch details
  • Ward consumption tracked separately from central pharmacy consumption — accurate department cost allocation
  • FEFO enforced at ward-level dispensing — earliest expiry batch always issued first even from ward stock
  • Returns from ward to central pharmacy — validated workflow, stock re-enters pharmacy at correct FEFO position

Common questions

Frequently asked questions

Ward stock management in a hospital ERP works through a digital indent workflow. The ward nurse or in-charge raises a stock indent specifying the medicines and consumables needed. The central pharmacy reviews, validates, and dispatches the approved items. Stock balances update at both locations simultaneously. Every transfer is recorded with batch numbers and expiry dates, and ward consumption is tracked separately for accurate department-wise cost allocation.
HISx maintains separate stock ledgers for every storage location — the central pharmacy, each ward, OT, ICU, emergency, and general store. When stock is dispatched from central pharmacy to a ward via a transfer, the central pharmacy's balance decreases and the ward's balance increases. Each location sees only its own stock in the default view, while pharmacy managers have a consolidated view across all locations.
Yes. HISx provides a simplified indent interface for ward nursing staff. They select items from the approved ward formulary, specify quantities, and submit. The system routes the indent to pharmacy for review and dispatch. Ward staff can track the indent status without calling the pharmacy. Emergency indents can be flagged for priority processing.
HISx reconciles ward consumption through two methods. For patient-specific dispensing linked to CPOE, each item dispensed is recorded at patient level and automatically billed. For bulk ward issues not patient-specific, ward consumption is tracked as department-level consumption and reconciled against the ward's indent receipts. Weekly reconciliation reports flag discrepancies between items received and items accounted for.
